Who we are

RebalanceMD is a multidisciplinary healthcare provider in British Columbia offering orthopaedic, physiotherapy, bracing, cardiac care, psychology, internal medicine, rheumatology, and other specialty services.

This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information in compliance with BC’s Personal Information Protection Act (PIPA) and Canada’s PIPEDA.

Chat and digital communications

If you use our website chat, your conversation may be logged and stored securely. Chat is intended for general inquiries only and should not be used for urgent or emergency medical matters.

We also offer telehealth services. Virtual care is conducted over secure channels, and your consent will be obtained for electronic communications.

Health information and patient services

When you use our medical, physiotherapy, bracing, or specialty services, we collect personal health information including referrals, diagnostic results, treatment notes, bracing measurements, and billing records.

  • PharmaNet: Authorized clinicians may access PharmaNet in accordance with BC law, solely to support your care.
  • Research: If your information is ever considered for research or teaching, we will seek separate informed consent and appropriate ethics approval.
  • Data residency: Personal health information is stored securely in Canada unless otherwise disclosed.
  • Payments: If paying by credit card, transactions are processed securely under PCI DSS standards. We do not store full credit card numbers.

Your information may be shared with your treating providers, referring physicians, and insurers when necessary for your care or billing. It will not be sold to third parties.

Cookies

If you leave a comment on our site, you may opt-in to saving your name, email address, and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up cookies to save your login information and your screen display preferences. Login cookies last for two days, and screen options cookies last for one year. If you select “Remember Me,” your login will persist for two weeks. If you log out, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after one day.

Embedded content from other websites

Articles on this site may include embedded content (e.g., videos, images, articles). Embedded content from other websites behaves the same way as if the visitor has visited that website directly.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking if you are logged into that website.

Who we share your data with

If you request a password reset, your IP address will be included in the reset email. We may also share personal information with service providers that support secure booking, billing, analytics, and chat functions.

All vendor and service-provider contracts include privacy and security terms aligned with BC PIPA, requiring breach notification and limited use of your data.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This allows us to recognize and approve follow-up comments automatically.

For users who register on our website (if applicable), we store the personal information provided in their user profile. All users can see, edit, or delete their personal information at any time (except for usernames). Website administrators can also access and edit this information.

Health records are retained in compliance with medical and legal retention requirements.

What rights you have over your data

If you have an account on this site or have left comments, you may request an exported file of the personal data we hold about you, including any data you provided. You can also request that we erase personal data we hold about you. This does not include data we are obliged to retain for administrative, legal, or healthcare purposes.

Patients may request access to or correction of their medical records by contacting our Privacy Officer.

Breach response

We maintain a privacy breach response plan that follows contain–assess–notify–prevent steps. If a breach creates a risk of significant harm, we will notify affected individuals and the BC Office of the Information and Privacy Commissioner as required. A log of breaches is kept by the Privacy Officer.

Staff training and awareness

All staff receive onboarding and annual refresher training covering:

  • PharmaNet rules (individual credentials, no sharing, BC-only access).
  • Virtual-care privacy etiquette.
  • Secure e-communication and consent requirements.
  • Confidentiality obligations and breach response procedures.

Where your data is sent

Visitor comments may be checked through an automated spam detection service. Personal health information is stored securely in Canada unless otherwise disclosed.
